How to prepare a research report for publication: a proofreading and editing checklist

Good research can be let down by unclear writing, inconsistent terms or a messy reference list. Editors and reviewers notice. Use this checklist before you submit a report or paper.

Work in two stages. Editing fixes structure, argument and clarity. Proofreading is the last pass for small errors. Do not proofread a draft you are still rewriting.

1. Read the guidelines first

Every publisher, journal or funder has rules: word limits, section headings, abstract length, referencing style, file format. Note them before you edit. Many rejections at the desk come down to ignored instructions.

2. Check the structure

  • Does the title say exactly what the report is about?
  • Does the abstract or executive summary state the question, method, main findings and conclusion?
  • Does each section do one job, in a logical order?
  • Do the conclusions follow from the evidence presented, and only from it?

3. Edit for clarity

  • Put the main point at the start of each paragraph.
  • Cut words that add nothing.
  • Prefer short sentences and plain words to jargon.
  • Explain each abbreviation at first use.
  • Make sure claims are matched by evidence or a citation.

4. Make it consistent

Pick one form and use it throughout: spelling (British or American), key terms, capitalisation, number style, dates and units. Inconsistency makes readers doubt the care behind the research.

5. Check tables, figures and numbers

  • Every table and figure is numbered, titled and mentioned in the text.
  • Numbers in the text match the numbers in the tables.
  • Totals and percentages add up.
  • Axes, units and sources are labelled.

6. Check every reference

  • Each in-text citation appears in the reference list, and each listed reference is cited.
  • The required style is applied the same way throughout.
  • Author names, years, titles and page numbers are correct.
  • DOIs and links work.

7. Be open about AI assistance

If AI tools helped with drafting or language, check the publisher's policy and disclose the use as required. Verify every fact, quotation and reference yourself. AI tools can produce sources that do not exist.

8. Proofread in focused passes

  • Take a break first; fresh eyes catch more.
  • Read once for spelling and grammar, once for punctuation, once for formatting.
  • Read aloud, or print the document, to slow down.
  • Check headings, captions, page numbers and the table of contents separately.

Final checklist

  • Guidelines followed: length, sections, style, format
  • Clear title and summary
  • Logical structure; conclusions match evidence
  • Consistent terms, spelling and numbers
  • Tables and figures correct and referred to
  • References complete and correctly styled
  • AI use checked against policy and disclosed if required
  • Final proofread done in separate passes
